Purpose
Change a live contract in a controlled way: raise a Contract Change Request (CCR) for a value or duration change, route it through review and approval, and apply the approved change to the contract with a full audit trail.
Benefits
- Live contracts cannot be edited freely — changes go through a CCR with review and approval.
- Supports value changes and duration changes.
- Apply immediately (ASAP) or on a Custom date.
- Approvers are notified; the change is recorded in the audit trail.
- The contract’s value or end date updates automatically once the CCR is actioned.
What You Need
- A live (Active) contract.
- Permission to raise and to approve CCRs.
- The change details — the new value, or the new duration/end date.
Outcome
The live contract reflects the approved change (new value or end date), applied immediately or on the scheduled date, with the CCR recorded for audit. Rejected requests leave the contract unchanged.
Contract Change Pipeline
Prerequisites
- A live (Active) contract to change
- Permission to raise and approve CCRs
- The new value or duration for the change
Contract Change Steps
1
On a live contract, raise a Contract Change Request: choose the Request Type (Contract Value or Contract Duration), enter the new value or duration, and pick an Implementation Type — ASAP (As Soon As Possible) or Custom (a specific date).
Business Value:A live contract is protected from free editing; the CCR is the controlled way to change its value or duration with oversight.
Depends On:A live contract and permission to raise a CCR.
Enables:Review and approval (Steps 2–3).
▼
2
The CCR enters Review Pending, and the relevant approvers are notified that a change is awaiting their decision.
Business Value:Changes to a live agreement need oversight before they take effect — the review state pauses the change for approval.
Depends On:A raised CCR (Step 1).
Enables:An approve or reject decision (Step 3).
▼
3
An approver approves or rejects the CCR. A rejected request is closed and the contract is unchanged.
Business Value:The control gate — only an approved change is applied to the live contract.
Depends On:A CCR in Review Pending (Step 2).
Enables:On approval, the change is actioned (Step 4).
▼
4
On approval the CCR is Actioned: the contract’s value or end date updates — immediately for ASAP, or on the chosen Custom date.
Business Value:Applies the approved change to the live contract so the record reflects the new commercial terms.
Depends On:An approved CCR (Step 3).
Enables:Re-baselined RAG and cost figures; the audit trail (Step 5).
▼
5
The change is recorded in the Audit Logs, and downstream RAG, cost tracking, and analytics reflect the new value or dates.
Business Value:Traceability and accurate reporting — every change to a live contract is auditable and flows through to dashboards and reports.
Depends On:An actioned change (Step 4).
Enables:Audit Logs, Dashboard, and Reports.
Result
The live contract reflects the approved change (new value or end date), applied immediately or on the scheduled date, with the CCR recorded in the audit trail. Rejected requests leave the contract unchanged.
