Customer Onboarding

Flow Guide — From creating a customer to NDA signing and a live sell-side contract
🎯 Purpose

Onboard a new customer (client) for sell-side contracts: capture their details and billing, set up an invoice profile whose NDA is signed via the e-signature provider, and create the sell-side contract that goes Live once the profile is complete. Signing the NDA is a step within this journey, tracked in Document Signature.

Benefits
  • One record holds customer details, financials, review schedule, compliance, and billing configuration.
  • Invoice profiles carry the NDA; signing routes through the e-signature provider (Internal → External waiting → Profile Completed) and is tracked in Document Signature.
  • A sell-side contract linked to a customer only goes Live once its invoice profile is Profile Completed.
  • Billing configuration (Cost Center items, rates, schedules) feeds the Cost Tracker.
  • Optional Customer Login lets the customer manage their own invoice profiles via the portal.
📥 What You Need
  • Platform setup complete (Organisation and Users).
  • An NDA template in Organisation → Templates (or upload an already-signed NDA directly).
  • An e-signature provider configured in Organisation → Settings.
  • The customer’s details; Cost Center items if usage billing is required.
🏁 Outcome

A customer with a completed invoice profile (NDA signed or uploaded) and a Live sell-side contract. The invoice profile is reusable across contracts, billing feeds the Cost Tracker, periodic reviews are scheduled, and — if Customer Login is enabled — the customer can manage their own profiles through the portal.

Prerequisites
  • Platform setup completed (Organisation, Users)
  • An NDA template in Organisation → Templates (optional if uploading a signed NDA)
  • An e-signature provider configured in Organisation → Settings

Customer Onboarding Steps

1
Create the customer record with contact details, financials, a periodic review schedule, compliance documents, and (optionally) a billing configuration.
Business Value:The customer is the master client entity referenced by every sell-side contract; it also holds the billing configuration that feeds the Cost Tracker and the review schedule for periodic reviews.
Depends On:Platform setup — Organisation and Users must exist.
Enables:Invoice profiles (Step 2) and selection on sell-side contracts (Step 4).
2
On the Invoice Profile tab, add a profile with a Name and Email. Either attach an already-signed NDA (the profile is set to Profile Completed immediately), or leave it blank to have the system generate and route an NDA for signature.
Business Value:The invoice profile is the billing identity selected on a contract; it carries the NDA. A customer can have several profiles for different contracts.
Depends On:An NDA template in Organisation → Templates (when generating). An e-signature provider for routing.
Enables:NDA signing (Step 3); the profile becomes selectable on sell-side contracts.
3
If no file was attached, the NDA is generated and sent for signature in sequence — first to the Organisation’s designated signer (Internal waiting), then to the profile recipient (External waiting) — reaching Profile Completed. The document and status are tracked in Document Signature.
Business Value:The NDA gates the contract going Live. e-Signature provides a tracked, legally executed document — signing is a step here, not a separate flow.
Depends On:An NDA template and an e-signature provider configured in Organisation → Settings.
Enables:A Profile Completed invoice profile, which lets the linked contract go Live.
4
Create a sell-side contract, selecting the customer and one of its invoice profiles. While the profile is not yet Profile Completed, the contract stays in Draft.
Business Value:The contract is the formal record; linking the invoice profile connects billing identity and NDA to the agreement.
Depends On:The customer (Step 1) and a chosen invoice profile (Step 2). A department for ownership.
Enables:Going Live (Step 5) once the profile completes; Cost Tracking if billing is configured.
5
When the linked invoice profile reaches Profile Completed (NDA signed or uploaded), the contract automatically moves out of Draft and becomes Live. Billing configuration feeds the Cost Tracker, and periodic customer reviews run on schedule.
Business Value:The end goal — a live sell-side contract with a completed NDA, ready for tracking, billing, and analytics.
Depends On:A Profile Completed invoice profile (Step 3) and the contract (Step 4).
Enables:Cost Tracker (usage billing), periodic reviews, Dashboard and Reports.
Result

A customer with a completed invoice profile (NDA signed or uploaded) and a Live sell-side contract. The invoice profile is reusable across contracts, billing feeds the Cost Tracker, and — if Customer Login is enabled — the customer can manage their own profiles through the portal.
